Every software company now claims to "do AI". Most of them mean they've added a chatbot nobody asked for.
We'd like to offer something rarer: an honest account. We've seen where AI genuinely earns its keep inside a business system, and where it's an expensive party trick. Here's the difference.
What AI genuinely does well in FileMaker today
Semantic search — finding things by meaning
Traditional database search finds exact words. Search for "roof leak" and you'll miss the record that says "water ingress through ceiling". Semantic search understands that these mean the same thing, so your team finds the right customer note, the right past job, the right document — even when nobody can remember the exact phrasing. For businesses with years of accumulated records, this alone can justify the whole exercise.
Document summarisation
Your system is probably full of long things nobody has time to read: meeting notes, contracts, survey reports, email threads. AI can produce a faithful short summary on demand — so the account manager gets the gist of a five-year client history in thirty seconds before returning a call, instead of not reading it at all.
Data extraction — untyping the untyped
Suppliers send PDFs. Customers send rambling emails. Someone then retypes the useful bits into the database. AI is genuinely good at reading an unstructured document and pulling out the structured facts — names, dates, quantities, order numbers — ready for a human to check and approve. It's the same "stop retyping" philosophy as our API integration work, applied to messier raw material.
Drafting — the blank-page killer
First drafts of routine writing: a follow-up email based on the job record, a quote cover letter, a polite chase for an unpaid invoice. The AI drafts from data already in your system; a human reads, edits and sends. Nobody should let AI send anything unsupervised — but as a blank-page-remover, it's superb.
What's mostly hype (for now)
In the interests of the honesty we promised:
- "AI will run your business." No it won't. It's a capable assistant, not a manager. Every workflow we build keeps a human making the decisions.
- AI for precise arithmetic. Your totals, VAT and payroll calculations should come from boring, deterministic database code — which we've been writing for 25+ years. Language models can make confident mistakes with numbers, so we don't let them near anything where "confidently wrong" is expensive.
- Chatbots as a default interface. Sometimes a conversation is the right interface. Usually, a well-designed layout with a button is faster. We'll tell you which yours is.
The technology moves quickly, and some of today's hype will be tomorrow's standard practice. When it is, we'll say so.
How we build it
An AI feature in FileMaker is, at heart, an integration: FileMaker talking to an AI service's API, with your data flowing carefully between them. That plays directly to our strengths — API work is what we're known for.
We build these features the way we build everything: understand the business problem first, then apply the tool. We're careful about what data gets sent to which service and why, we design for graceful failure, and we keep humans in charge of anything consequential. Is our data safe if we use AI features?
This deserves a proper conversation, not a checkbox. Different AI providers have different terms about how submitted data is handled. We'll help you choose a provider and configuration you're comfortable with, and we design integrations to send only the data each feature actually needs — never the whole database.
Which AI models do you work with?
We have real integration experience with Claude and other large language model APIs. We're not wedded to any one provider; we'll recommend what fits your use case, budget and data-handling requirements.
Will AI features make our system expensive to run?
AI services charge per use, but for typical business volumes — summarising documents, extracting data from invoices — the running costs are usually modest compared with the staff time saved. We'll estimate realistic usage costs before you commit.
Can AI features be added to our existing FileMaker system?
Usually, yes. Most AI capability arrives via API integration rather than rebuilding. A current, well-structured system makes it easier — if yours needs a little tidying first, we'll say so at the free consultation.
